6. Legal Basis & Consent
Under the DPDP Act and related frameworks, we process personal data where:
- You have given consent — for example, when you tick the privacy consent box on our resume submission or job application forms, or when you agree to be contacted about relevant roles;
- Processing is necessary for a lawful purpose — such as performing a contract with you or a client, or for employment-related purposes at your request;
- We have a legitimate interest — such as operating our recruitment business, preventing fraud, or improving our services, provided your rights do not override those interests;
- We are required by law — to retain records or respond to regulatory or court orders.
You may withdraw consent at any time where processing is consent-based, by contacting us at hello@prorecruit.in. Withdrawal does not affect processing already carried out lawfully before withdrawal.
8. Data Retention
We keep personal data only as long as necessary for the purposes described in this policy:
- Candidate profiles: active registration is typically maintained for six (6) months from your last update or meaningful interaction, after which we may archive or delete your profile unless you renew or we have an ongoing placement discussion. You may request earlier deletion;
- Job applications: retained for the duration of the recruitment process and a reasonable period thereafter for compliance and dispute resolution;
- Client records: retained for the term of the engagement and as required for accounting, tax, and legal purposes (often up to seven years where statute requires);
- Website logs & cookies: retained according to our technical configuration, generally not longer than necessary for analytics or security.
When data is no longer needed, we delete or anonymize it where feasible.
9. Your Rights
Subject to applicable law (including the DPDP Act), you may have the right to:
- Access personal data we hold about you;
- Correction of inaccurate or incomplete data;
- Erasure of data no longer required or where consent is withdrawn and no other legal basis applies;
- Withdraw consent for consent-based processing;
- Grievance redressal through our contact channels, and escalation to the Data Protection Board of India or other authority where applicable.
To exercise these rights, email hello@prorecruit.in with the subject line "Privacy Request" and enough detail for us to verify your identity. We aim to respond within a reasonable period as required by law.
If you believe your data has been misused, you may also lodge a complaint with the relevant authority under the DPDP Act.
